Managing Your Consultant's Timesheet

Learn how to view, manage, and approve your consultant's timesheet.

You can access your Timesheet Portal from the top navigation menu.

You will default to the Submitted tab of the Timesheet Portal listing view where ALL projects that you own or have been shared with you will be compiled.

Statuses

Here is a quick outline of timesheet statuses and their definitions:

  1. Not Started - Monthly billing cycles where the consultant has yet to create a draft timesheet will be compiled here.

  2. Draft - Timesheets that have been created and are in progress by your consultants across projects will appear here. These timesheets have not been submitted to you and are still subject to change in this state.

  3. Submitted - Timesheets that have been submitted to you for review and approval will appear here.

  4. Request Edits - Timesheets that you have re-opened for edits will be compiled here as you await action from the consultant.

  5. Approved - Timesheets that you have approved across projects and consultants will be compiled here.

  6. Not Invoicing - Billing month cycles where the consultant will not be submitting any time and expenses will be compiled here.

Viewing Draft Timesheets

To view an in-progress or draft timesheet, toggle to the Drafts tab and click on the timesheet of interest.

Timesheets will be itemized by day and categorized by consulting hours, travel hours, and expenses. Timesheets in this stage are view-only. You are unable to request edits and/or approve timesheets in this draft stage.

If you have any questions or concerns with logged hours on a draft timesheet, please reach out directly to your consultant to discuss and resolve before the end of the billing cycle. If you need assistance, please feel free to reach out to support@clora.com or your assigned Clora Operations Associate.

Reviewing Submitted Timesheets

Submitted timesheets can be found in the Submitted tab, where you can click on the timesheet of interest.

A submitted timesheet will also be itemized by day and categorized by consulting hours, travel hours, and expenses. You can take action on timesheets in this stage to either Request Edits or Approve.

Requesting Edits

In the event you have questions, find discrepancies, need more details, etc about your consultant's timesheet, you can Request Edits to re-open the timesheet. You can leave comments/questions on a per line item basis AND/OR on the timesheet overall.

Once you have finished leaving any appropriate comments/notes, you can Send Edits.

Your comments will go directly to your consultant, who can review, edit, and re-submit their timesheet to you.

Approving Timesheets

If you are ready to approve your consultant's billed hours and expenses, click on Approve.

The timesheet will move to an Approved stage. You can download a PDF/CSV copy for your records.

Upon your approval, the official invoice will be sent to your organization’s AP/AR team via Clora’s Quickbooks account for payment processing.


Inviting Other Approvers

If you would like to share time approval responsibilities with others in your organization, you can invite your colleagues.

To begin, navigate to your Timesheet Portal start page and click on the All Timesheets link for the project you would like to share.

This will open the project view with all current and past timesheets. From this page, click on the +Add interviewers link.

In the modal that appears, enter your colleague's email address and assign them the Role of Timesheet Approver. You can send multiple invites at once by hitting enter/return.

Click on Send invite to collaborate when complete.

Invited colleagues will receive an email notification to accept and begin to also review and approve timesheets for the particular project.

Please note:

  • Your invited colleagues will be able to review & approve ALL current and future timesheets for the project. You cannot share specific monthly timesheets.

  • If you have multiple active projects that you would like to share, you will need to invite your colleague(s) to each project.

  • Only 1 person can actually approve a timesheet. The timesheeet will display the individual who approved and date. All other associated approver(s) will be alerted to the action via email.
